For Keith and the Common Heart team

A volunteer system built around how Common Heart actually runs.

This is what replacing your current volunteer system could look like: shifts that fill themselves, text reminders instead of no-shows, and a staff view that shows every pantry's coverage at a glance.

Everything below is clickable. It uses your real volunteer roles, age rules and policies, with example names, dates and numbers.

1

Signing up takes 30 seconds, on any phone

Volunteers see open shifts before creating anything. Pick a role, tap a shift, enter a name and mobile number. Your age rules and the yearly civil rights training are handled inside the same flow.

Open shifts
1

Shifts first, account later. No login wall. Returning volunteers are recognized by their phone number.

14

Your age rules, built in. Under 14 must sign up with a registered adult on the same shift. 14 to 17 need a parent or guardian to co-sign, by text link.

✓

Training without the extra form. First-timers watch the civil rights video and confirm in the same flow. The system asks again when it expires each year.

👟

The right reminder for the right shift. Mobile and evening pantry volunteers hear "it's outdoors, dress for the weather" and everyone hears "closed-toed shoes".

+

Groups in one go. A church or school group reserves a block of spots, then each member confirms from a shared link.

2

Cancellations refill themselves

Your FAQ already asks volunteers to cancel early so waitlisted people can take the spot. The new system does the second half automatically. Press the buttons to see it.

Check-in on a tablet, hours logged for you

A tablet at the Indian Trail warehouse door. Volunteers tap their name to check in and out, and hours go straight onto their record. That covers community service letters, student hours and your volunteer-hours numbers for grant reports.

Moving over from your current system

        Your history comes with you

We export volunteers, past hours and upcoming signups from your current system and import them, so nobody re-registers and no hours are lost.

        Lives on commonheart.org

Volunteer pages sit inside your WordPress site with your branding, not on a separate website your volunteers have to find.

        Connects to the rest

The same system can later handle Getting Ahead and Staying Ahead signups and the 18-month follow-up, so volunteers, Allies and participants live in one place.

A 30-minute walkthrough of your current setup

        1. You show us how volunteers sign up today and what frustrates your team
        2. We map which features you rely on, so nothing gets lost in the switch
        3. We send a fixed-price plan with a timeline, timed around your busiest season
